An AI Agent That Runs Your Business Tools: How SoftSolz Automation Works
How an AI agent connected to SoftSolz through MCP can run invoicing, bookings, forms, outreach and publishing, and where a person still signs off.
Most AI tools for small businesses stop at writing text. They draft an email or summarise a document, and then a person still has to open five different apps to act on it. SoftSolz takes a different route. Every one of our services has an API and an MCP tool, so an AI agent can do the work inside the service itself. It can create the invoice, book the appointment, publish the form and move the deal.
This post explains how that works, what an agent can handle today, and where we keep a person in the loop.
How an agent connects to SoftSolz
We ship an MCP server (@softsolz/mcp). MCP, or Model Context Protocol, is an open standard that lets AI assistants such as Claude call external tools. Once you connect SoftSolz to your assistant, it can see which services your workspace has installed and use roughly 270 actions across them.
You talk to the agent in plain language. It picks the right actions, runs them and reports back what it did.
A real session
I tested this while writing our last post. Over one conversation, the agent:
listed the 17 services installed on my workspace
pulled every form with its submission count, and flagged a form whose fields did not match its name, two forms with typos in their slugs, and two published test forms that had never received a submission
created and published a new form called people-data with name, email, phone, date of birth, city, postcode and country fields, spam protection and in-app alerts
wrote a blog post about our services and saved it as a draft with an SEO title, tags and a call-to-action button
I typed one short request for each of those. I did not open the Forms or Blogs dashboards once.
What an agent can take on
Sales and follow-ups
The agent can check your pipeline forecast, find deals that have sat in one stage too long, log a call against a deal and move it to the next stage. When a deal closes, it can draft a quote and send the customer a signing link.
Invoicing and payments
An agent can draft invoices, add line items, send payment reminders and read the aged receivables report to tell you who is overdue. It can also create Stripe payment links for one-off charges.
Bookings
Ask the agent to find a free slot next Tuesday for a 30-minute consultation and it checks real availability before booking. It can reschedule, cancel, add notes and create follow-up tasks after the visit.
Customer conversations
Through Outreach, the agent can read the shared inbox, reply to a conversation, and build and schedule WhatsApp, SMS or email campaigns to a contact book.
Content
The agent can draft blog posts, moderate comments, write social posts and schedule them across your connected accounts.
Your own knowledge
Knowledge Hub gives the agent your documents to work from. It searches your collections and cites the page each answer came from, so you can check its sources.
Agents for one-off requests, workflows for routine ones
A conversation with an agent suits work that changes each time. For jobs that repeat on a schedule or on an event, AI Workflows runs a fixed chain of steps without anyone asking. For example, a workflow can add a new form submission to a contact book, create a deal in your pipeline and assign a follow-up task to a sales rep. You can pause a workflow, resume it and check the history of every run.
Many businesses will use both. The agent helps you design and test a process in conversation, and a workflow then runs it every day.
Where a person still decides
An agent that can send invoices and campaigns needs limits. SoftSolz can hold sensitive actions such as posting, sending or voiding an invoice for approval, so a person signs off before money-related changes take effect. Every agent action also runs under the scopes you grant the connection, so an agent with view-only access to Invoicing cannot send anything.
We recommend starting with read-only scopes, letting the agent report on your pipeline, forms and invoices for a week, and granting write access one service at a time once you trust its output.
What we are still building
Third-party integrations are still in progress, and cloud connectors will arrive in a later release. Today the agent works with data inside SoftSolz and with anything your AI assistant can already reach on its own.
Trying it
Plans cost £20, £60 or £100 per month, with a 14-day free trial and no credit card needed. Developers can also build their own agents on the Node SDK (@softsolz/sdk) or the Python SDK (softsolz on PyPI).
